Setting up welcome messages for your Phone Agent

With welcome messages you determine how your AI Phone Agent starts a conversation when someone calls. You can set different welcome messages per day and time, so the Agent always begins in an appropriate way.

This ensures a clear and consistent first impression, tailored to your availability and workflow.

You set up multiple welcome messages for different times and days. The Phone Agent automatically selects the right message based on the time of the call. You decide what the Agent says at the start of a conversation. Welcome messages are easy to adjust or remove.


What are welcome messages?

A welcome message is the first thing a caller hears when the Phone Agent answers a call. This can be a standard greeting or a different message outside certain hours.

By default, some welcome messages are already set up for you. You can use these directly as a starting point. You can easily adjust or remove existing welcome messages by clicking Edit or Delete.


How to set up welcome messages

Go to the settings of your Phone Agent

Open your Phone Agent and click Settings. Then choose Welcome messages in the submenu.

Add a new welcome message

Click the Add new welcome message button. You will see a screen where you configure the welcome message.

Set days and times

Specify on which days and times this welcome message should be active. The Phone Agent uses this time block to determine when this message is spoken.

Write the welcome message

Enter the text the Phone Agent should speak at the start of the conversation. You can use variables such as [$agent.naam] (the Agent's name) and [$agent.brand.naam] (your organization's name).

Save

Click Save to add the welcome message. The Phone Agent automatically uses this message within the configured time block.

Keep welcome messages short and clear. This way the caller immediately knows they are connected and what to expect.


How does the Phone Agent choose the right welcome message?

When someone calls, the Phone Agent checks which welcome message matches the day and time. If more than one message is configured, the right message is automatically selected.

Good to know

You can add, adjust or remove multiple welcome messages at any time. Changes are applied immediately for new calls.
